Last updated: August 24, 2026

This Privacy Policy is issued by Divtechnosoft, a sole proprietorship registered in India (GSTIN: 24GDKPS4851L1ZV), which owns and operates BrokerBuddy (the "Platform", "we", "us", or "our"). We are committed to protecting your privacy and ensuring the security of the personal information and business data you entrust to us.

This Privacy Policy explains how we collect, use, disclose, store, and safeguard your information when you use our real estate agency management platform. By accessing or using Broker Buddy, you agree to the collection and use of information in accordance with this Privacy Policy.

1. Information We Collect

We collect information directly from you (the Broker or Agency Administrator) as well as data you input regarding your team, properties, and leads (clients).

A. Personal and Business Account Information

To register and maintain your account, we collect:

  • Name and Contact Details: Your name, business email address, and phone number.
  • Business Profile: Agency or company name, business address, and company configuration settings.
  • Account Credentials: Secure login details processed through our authentication provider.

B. Lead and Client Information (User-Inputted Data)

As a lead management system, you and your invited team members may upload and manage client data, which includes:

  • Lead Identifiers: Client names, email addresses, and phone numbers.
  • Client Preferences: Budgets, preferred property types (e.g., residential/commercial), locations, and purchase/lease criteria.
  • Interaction History: Broker notes, scheduled visits, calendar events, deal progress updates, and negotiation history.

C. Property Listing Information (User-Inputted Data)

To list and search properties within the Platform, you input property details, including:

  • Property Details: Address, coordinates, price, dimensions, room count, features, and characteristics.
  • Media Assets: Images, photos, and floor plans uploaded to our storage system.
  • Listing Status: Information regarding whether the property is for sale, rent, pending negotiation, or sold.

D. Mobile Device Permissions (Mobile Application)

To provide communication and lead logging features on your mobile device, our application may request the following permissions:

  • Phone State and Call Status: With your permission, the app detects the termination of calls initiated through the application. This is used solely to automatically display a lead creation form, allowing you to log the lead information quickly. We do not monitor, listen to, record, or store any call audio or logs.
  • Third-Party Application Launching: The app permits you to launch third-party communication apps like WhatsApp to chat directly with leads and property owners.

2. How We Use Your Information

We use the collected data for the following purposes:

  • Service Provision: To operate, maintain, and provide the core functionalities of Broker Buddy, including lead tracking, property matching, calendar coordination, and dashboard analytics.
  • Mobile Efficiency Tools: To trigger lead-entry forms immediately after a phone call ends (with call permission enabled).
  • Team Collaboration: To enable data-sharing, assignment of leads, and calendar sync among team members under the same agency account, matching the roles configured by the Account Owner.
  • Authentication & Security: To verify user identities, prevent unauthorized access to broker databases, and enforce strict access controls on our databases.
  • Technical Support: To diagnose technical bugs, optimize platform performance, and respond to customer service requests.
  • Legal Compliance: To comply with applicable laws, court orders, and regulations.

3. Data Storage, Security, and Sub-processors

A. Hosting and Databases

Your data is securely stored and managed using industry-standard, enterprise-grade cloud infrastructure providers, including:

  • Database & Authentication: A managed cloud database service with secure user authentication. All customer data is isolated using strict database-level access rules to prevent unauthorized cross-tenant access.
  • Application Hosting: A reputable third-party cloud hosting provider for our web application.

B. Security Measures

We implement appropriate technical and organizational security measures designed to protect your data against accidental loss, unauthorized access, alteration, or disclosure. This includes:

  • Secure HTTP connection protocols (HTTPS/SSL/TLS) for data in transit.
  • Encryption of database files and backups at rest.
  • Role-based access permissions within your team workspace.

Note: While we use enterprise-grade storage and security configurations, no transmission of data over the internet or electronic database is 100% secure. We cannot guarantee absolute security.

C. International Data Transfers

Our cloud infrastructure providers may store and process data on servers located outside your country of residence, including outside India. Where this occurs, we take reasonable steps to ensure your information continues to receive an adequate level of protection consistent with this Privacy Policy and applicable law.

4. Team Roles and Internal Data Sharing

Broker Buddy is designed as a collaborative platform. If you invite team members to your organization:

  • Organization-Wide Visibility: Leads, property databases, notes, and scheduled visits are shared within your organization depending on the workspace settings.
  • Role Permissions: The platform supports different roles (e.g., Owner, Admin, Member). Access to specific analytics, configuration settings, or deletion capabilities will vary depending on the role assigned by the Account Owner.

Please ensure that you only invite authorized team members, as they will have access to the lead and property information stored in your team's workspace.

5. User Responsibilities for Exported Data

The Platform provides features that allow you to export lead databases and property lists into Excel or CSV formats.

  • Once a user exports and downloads data from Broker Buddy, that downloaded file is outside the security controls of our Platform.
  • You (the Broker/Agency) are solely responsible for securing exported spreadsheets, ensuring compliance with local data privacy laws (such as GDPR, CCPA, or regional real estate regulations) regarding the storage and disposal of client contact lists.

6. Data Retention

We retain your account details, lead logs, and property listings for as long as your workspace subscription is active and you remain a registered user of Broker Buddy.

  • If you choose to close your account or cancel your subscription (which currently must be requested exclusively via our Contact Us page), we will delete or anonymize your personal information and associated tenant databases within a reasonable period, subject to any legal obligations to retain records.
  • You can manually delete individual leads, notes, and property listings at any time through the platform interface.

We use cookies and similar tracking technologies to monitor activity on our Platform and improve user experience.

  • Essential Cookies: Required for account authentication, user sessions, and keeping you logged in.
